How to describe a digital course refund procedure, avoid contradictions, and handle difficult student requests appropriately.

At WeStudy, refund rules should be clear before payment and aligned with how access to materials works.

A refund policy protects more than the seller. It helps buyers make decisions and support teams handle similar situations consistently. A blanket 'no refunds under any circumstances' rule may conflict with applicable law and overlook cases where content was not provided or differs significantly from what was promised.

First define the nature of the offer: access to recorded digital content, a service with live sessions, or a combined program. Different elements may be subject to different rules. Terms also depend on the buyer's country, the sales method, and when performance begins.

What to Explain before Payment

Buyers should see the request period, eligible grounds, submission method, required information, review period, and refund channel. If the amount is reduced in proportion to the part of the program already provided, explain the calculation. Do not invent criteria that cannot be checked objectively.

Distinguish the school's voluntary guarantee from statutory rights. A marketing guarantee may be broader, but its conditions should not mislead. For example, a 'no questions asked' refund promise is incompatible with a long list of hidden exceptions.

Reviewing a Request

Keep the facts: purchase date, sales page version, activity, technical support requests, and messages. Do not turn viewing statistics into the sole evidence, as they may be inaccurate. Give the person an opportunity to describe the problem.

Train support staff to distinguish a refund from fixing a technical error, moving to another group, or pausing access. Sometimes an alternative suits both parties better, but it must be voluntary.

Why One Policy Does Not Always Fit Everyone

Withdrawal rights, digital content exceptions, refund deadlines, and the ability to retain the value of the portion already provided depend on the buyer's country. A payment service or marketplace may impose additional rules.

An international school therefore needs to establish the customer's location, retain confirmation of when content provision began, and avoid restricting mandatory rights through a local template.

Transparency and effective redress can provide a foundation, while specific periods should be checked locally. Reference point: [UNCITRAL materials on electronic commerce](https://uncitral.un.org/en/texts/ecommerce).

A Decision Matrix for Support

Prepare scenarios for common requests: access was not provided, the product does not match its description, the buyer changed their mind, technical incompatibility arose, subscription charges continued, or a student missed live sessions.

For each case, define the facts to check and the available options: a full or partial refund, a correction, a transfer, or extended access.

The matrix should not override individual consideration. Its purpose is to prevent two employees from giving opposite answers under the same circumstances. Record exceptions with a short explanation; this helps identify product problems or unclear advertising.

Preventing Conflicts

Before purchase, show a sample lesson, technical requirements, syllabus, and support format. Send confirmation immediately after payment, including the terms and a clear contact channel. Do not make people search through several menus for the refund form.

Analyze reasons monthly. Many requests after the first lesson may indicate incorrect positioning, while technical complaints from a particular device may indicate a compatibility problem. A refund policy becomes a quality tool when the team goes beyond resolving payments and changes the product in response to recurring signals.

What the Refund Log Should Contain

Record the following without excessive personal details:

- country and purchase date;

- product, plan, and payment method;

- version of the terms;

- date content access began;

- reason for the request in the customer's words;

- the decision and its legal or contractual basis;

- refund amount, deadline, and channel;

- recurring signals for the product team.

Do not use the log to create a 'blacklist' of people who exercised a lawful right. Restrict access and justify the retention period. If the payment provider handles a dispute separately, synchronize statuses so that the customer does not receive contradictory answers or a double refund.

Next Step

Analyze the last twenty refund requests and group them by reason without judging customers. For the three most common reasons, identify a change that could prevent the problem: a more precise description, a sample lesson, a technical test, or a clearer subscription reminder. Update the support matrix and check the frequency of repeated complaints after a month.

Also measure response time and the proportion of decisions a manager had to reconsider. These metrics help distinguish difficult cases from an unclear procedure or insufficient support training.

Set up a clear refund request route in WeStudy and train the team to record the date, grounds, decision, and deadline for notifying the customer.
